The PTO policy template gets thousands of visits a month, the HR glossary ranks for dozens of terms, and the login page is your most-visited URL. Demo requests haven’t moved.

That’s normal in HR tech, and it has one cause: most people searching around your product are doing HR work, not buying HR software.

So the HR tech SaaS SEO strategy that brings demos starts at the other end. Build for the moment someone is choosing a tool, with alternatives and comparison pages first. Then give each person in the buying group a page that answers their own question, because HR doesn’t sign off alone.

This guide is for seed to Series B teams selling HRIS, payroll, recruiting, performance or benefits software. It covers which pages to build first, who you’re up against for each search, how AI answers pick HR tools, and what to expect if you hire help. It doesn’t cover paid ads or enterprise RFPs.

TL;DR

Most HR tech traffic comes from people doing HR work, not buying software. Build for the buying moment first.

Start with five page types: alternatives, comparisons, use case, pricing and integrations.

HR software is bought by a group. HR, IT and finance each need a page that answers their question.

Competitors and review sites like Capterra already own many of these searches. Get onto their pages too, because AI answers read them.

Why does HR tech SEO bring traffic but not demos?

Because three different groups search around HR software, and only one of them is buying.

Three groups search around your HR product. Only buyers book demos.

HR people doing their job. They want a template, a policy, a definition or a law. BambooHR runs a large HR glossary and Workable publishes a library of job description templates. Pages like these answer searches HR people make every day. Most readers are writing a job post that afternoon, not replacing their HRIS.

Your customers’ employees. HR and payroll tools are used by every employee at a customer, not only the team that bought them. So people search your brand name plus “login”, “pay stub” or “app” all the time. That traffic shows up in your reports and has nothing to do with new pipeline.

Buyers. A founder, HR lead or ops manager comparing tools. Fewer people, far more value.

HR tech is harder than most SaaS here, because the first two groups can outnumber buyers and look exactly like your audience. An HR manager reading your onboarding checklist is the right job title at the wrong moment.

Templates and glossaries aren’t useless. At a 40-person company, the HR manager reading your checklist may also be the person who picks the software next year. Keep them. Link each one to the feature that does the same job, so an onboarding checklist points to your onboarding workflow. Just stop counting their traffic as pipeline.

What do HR software buyers search right before a demo?

They search for a shortlist, a comparison, a fit check or a price. These are bottom-of-funnel (BOFU) searches: lower volume, much closer to a demo.

Page type

Example HR tech search

Why it brings demos

Alternatives

“BambooHR alternatives”

They want to leave a tool and are picking the next one

Comparison

“Gusto vs Rippling”

They have two names and need a reason to choose

Use case

“HRIS for a 50-person company”, “payroll for multi-state employees”

They know their situation and want a tool built for it

Pricing

“HR software pricing per employee”

They’re checking budget, often across several vendors

Integration

“HRIS that integrates with QuickBooks”

They’re checking fit with tools they already pay for

The HR software intent ladder: fewer searches near the top, but those people are already choosing.

Two of these page types matter more in HR than in most categories. In G2’s 2026 research on HR and payroll buyers (211 interviews, commissioned by Paycom), 69% said they run several disconnected HR systems and reconcile data by hand. So integration searches carry real buying intent. The buyer’s first question is “will this connect to what we have?”

And 78% judged cost by the total, including implementation and support, not the sticker price alone. A pricing page that shows a per-employee rate but hides setup fees answers half the question.

Low volume is fine. A search with 30 visits a month from people choosing between two payroll tools can bring more demos than one with 5,000 visits from people downloading a template.

Who already ranks for those searches?

Your competitors and the big review sites, usually both. We ran four common HR software buyer searches (US, November 5, 2026) and noted who showed up in the top results:

Search

Vendors with their own page

Review sites and publishers

“BambooHR alternatives”

Factorial, JazzHR

Capterra, GetApp, Software Advice, SelectHub

“Gusto vs Rippling”

Gusto and Rippling (each has its own comparison page)

G2, Capterra, NerdWallet, People Managing People

“best HRIS for small business”

Gusto, HiBob, ADP, Humaans

Fit Small Business, People Managing People

“best applicant tracking system for startups”

JazzHR

Startup Savant, MaRS

Two things stand out.

Your competitors are already telling your story. Gusto’s “Gusto vs. Rippling” page and Rippling’s “Rippling vs. Gusto” page both exist, each written by the vendor. If a rival has an alternatives page that names you and you don’t have one, the buyer only hears their version.

Review marketplaces own a big share of every search. Their alternatives and comparison pages appear across HR categories. And there are fewer owners than it looks: G2 agreed in January 2026 to buy Capterra, Software Advice and GetApp from Gartner. You won’t outrank these sites on every query. You don’t need to. You need a complete, current profile on each, and your own page sitting next to theirs.

This is one search on one day, not a ranking study. Results change by location and over time, so run the same searches for your own category before you plan.

Want this check run for your product? The order follows how close each page sits to a demo and how fast you can publish it.

Build your HR tech BOFU pages in this order.

1. Alternatives pages for the three competitors sales hears about most. Ask your sales team which tools prospects leave, then write one alternatives page per competitor. Say what the rival does well and who it suits better. HR buyers are cautious: in the same G2 research, 26% called switching HR systems a major, high-risk disruption. A page that trashes a competitor reads like an ad, and cautious buyers skip it.

2. Comparison pages for “competitor vs you” searches. Use a feature table, real pricing where it’s public, and a plain “pick them if, pick us if” section. Date the page and update it when either product changes. Stale comparison pages do more harm than none.

3. Use case pages by company size, industry or situation. Big HR suites are hard to beat on broad terms like “HR software”. They’re much easier to beat on narrow ones: “HR software for restaurants”, “payroll for remote teams in 10 states”, “HRIS for companies under 100 employees”. One page per real segment you serve, not one per city.

4. A pricing page that answers the whole cost question. Show the per-employee-per-month (PEPM) rate, minimums, implementation fees and what’s included. If you sell by quote only, publish a starting price or a typical range. Buyers and AI tools can’t quote “Contact sales”.

5. Integration pages for the tools your customers connect most. Payroll to accounting, ATS to HRIS, HRIS to Slack or the identity provider. One page each, saying what syncs, how often and how long setup takes.

Positioning decides whether any of these pages convert. Compare:

Vague: “The all-in-one people platform for modern teams.”
Specific: “HR and payroll for 20 to 200-person companies with staff in more than one state.”

The second line tells the right buyer they’re in the right place, and it makes it easier for Google and ChatGPT to match you to the right searches.

How do you write for HR, IT and finance at once?

Give each role one page that answers its main question, and link to those pages from every BOFU page. Don’t build a separate site per persona.

HR rarely buys alone. G2’s HR research didn’t only interview HR: 11% of the people it spoke to were IT or system admins, and 8% worked in finance or payroll. Across all B2B software, 6sense’s 2026 Buyer Experience Report puts the average buying group at about 10 people.

Each role in an HR software deal needs its own answer.

Role

Their real question

The page that answers it

HR leader

“Will this save my team time and keep us compliant?”

Use case pages and case studies with numbers

IT or security

“Is employee data safe, and will it work with our identity setup?”

A security page covering single sign-on (SSO), automatic account setup (SCIM), SOC 2 or ISO 27001, and where data is stored

Finance

“What does it cost all-in, and when does it pay back?”

The pricing page plus a total-cost or ROI page

Managers and employees

“Will people actually use it?”

Product tour, mobile app page, real screenshots

IT matters more in HR tech than in most categories. HR systems hold salaries, bank details, home addresses and sometimes health information. An IT lead who can’t find your security page in two minutes can stall a deal the HR lead already wants. If you have SOC 2, say so plainly and say how to request the report. If you don’t yet, say what controls you have and when the audit is planned.

How do you get HR software named in AI answers?

Rank in search, keep your facts easy to quote, and get onto the third-party pages AI tools read. That’s answer engine optimization (AEO) in practice.

Say a buyer asks ChatGPT for the best HRIS for a 50-person startup. The tool splits that into several smaller searches (called query fan-out), reads what comes back, and writes a short answer naming a few tools.

Those searches are mostly normal web searches. In Ahrefs’ study of 1.4 million ChatGPT prompts (April 2026), 88% of the URLs ChatGPT cited came straight from search results. Only about half of the URLs it pulled were cited. Ranking gets you read. Clear, specific facts get you quoted.

AI answers pick HR tools from pages that rank. In G2’s March 2026 survey of 1,076 B2B software buyers, 54% named AI chatbots as the top influence on their shortlist. In 6sense’s 2026 report, 81% used AI tools at some point, but only 26% used them to find new vendors. Different questions, different answers. Neither survey is HR-specific. Both say AI is now part of how software gets picked, and the work below helps in Google either way.

What to do for HR software:

Put plain facts on your site: Company sizes you serve, PEPM price, countries or US states your payroll covers, integrations and security certifications. Write them as sentences, not only in an image or a “Contact us” box.

Fix your review site profiles: In G2’s survey, 45% of buyers said review site citations were the signal that made them trust an AI answer most. G2 runs review sites, so weigh that number with care. Refresh your G2, Capterra and GetApp profiles: current pricing, screenshots and categories.

Get onto the “best HRIS for X” lists: Search “best” plus your category in Google and ChatGPT, list every page that comes up, and pitch the authors with a real reason to include you. Earning those editorial mentions, and the links that come with them, is what SaaS link building is for.

Check monthly, not daily: Write the 20 questions a buyer would ask an AI about your category and run them several times a month. Answers change from run to run. Our guide on tracking brand mentions in AI search shows the method.

Nobody can guarantee your product gets named in AI answers. That includes us. You can make your brand easier for AI tools to understand, trust and recommend. You can’t own the answer.

How do you know it’s working?

Count demos and pipeline by page, and strip out traffic from employees logging in. Visits are an early signal. Demos are the result.

Filter out login traffic: In Google Search Console, exclude queries that contain “login”, “sign in” or “app” next to your brand, and report non-login traffic on its own. Gusto’s own switching guide says it’s easiest to change payroll providers at the start of a calendar year, with the start of a quarter as the next best option. If buyers aim to switch in January, they’re comparing tools in the fall.

New pages can take months to rank. If you sell payroll, publish your comparison and alternatives pages by mid-year and refresh them before September, so they’re ready when buyers start shopping for a January switch.

Should you do it in-house or hire an agency?

Do it in-house if you have someone who can write well, talk to sales and own SEO for at least a year. Hire help if you don’t, or if you need outreach and AI tracking you can’t staff.

Option

Works when

Watch out for

In-house

You have a marketer with SEO skills and time to publish one BOFU page a week

Link building and AI tracking often get dropped when the team gets busy

Freelancer

You need writing help and already have a clear plan

Strategy, technical fixes and outreach usually aren’t included

Specialist agency

You need the plan, the pages, the links and the AI tracking from one team

Agencies that report traffic instead of demos

If you hire an agency, here’s what a good first 90 days looks like:

A good first 90 days of HR tech SEO: the order of work, not a promise of results.

First month: fix the base. List the buyer searches where you have no page. It’s rarely enough to judge SEO by pipeline. Expect early signals in months, and stronger results over a year, faster in narrow niches and slower against suites like Workday or ADP.

Red flags when you talk to agencies: anyone who guarantees rankings or ChatGPT mentions, reports only traffic and impressions, or sells links from sites built to sell links.
